Job Description Receptionist/HR Assistant (Tucker)
Summary: The receptionist is first point of contact that a visitor or caller will have with the company. The receptionist will always be friendly and leave an excellent impression during calls or face to face. The receptionist is responsible for inbound and outbound mail and maintaining of all files. The receptionist will also assist with the hiring process and with the administration of the hours of hourly employees and the payroll process.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
? Provide EXCELLENT customer service.
? Prepare and follow up on outgoing shipments
? General office duties ( typing, filling, scheduling, obtaining supplies, filling supplies)
? Managing the payroll system keeping time tracking software, Payroll Company and Company HR files current, accurate and synchronized.
? Detailed review of daily, weekly, and bi-weekly punches times including enforcing our current policy of weekly Management authorization of hours.
? Recording attendance for the office, and maintaining PTO balance files for all eligible employees.
? Investigating and resolving minor Human Resource inquiries and concerns.
? Managing the administration of basic Human Resource functions to include employment applications, compilation of new employee files, making certain HR files contain all required information, etc. . .
? Managing the task list provided to you that outlines the routine payroll function as well as keeping accurate daily notes of exceptions, employee changes, replacement of cards, shoes, etc. . .
Qualifications
? Previous administrative experience working in an office environment
? Proficient in Microsoft Office (Word, Excel, Outlook)
? Experienced writing documents
? Excellent command of the English language. Bi-lingual English-Spanish MANDATORY.
? Excellent communication skills (written and verbal)
? Exceptional organizational skills and consistent follow through with team members, including excellence in planning, controlling and delivering business projects
? Demonstrated ability to deal with multiple, concurrent tasks, shifting priorities quickly and flexibility to meet changing needs
? Ability to complete work in a timely manner with accuracy and attention to detail
? Strong personal time management skills
? Can work under pressure with tight deadlines
Schedule: Full time position and some flexibility on days/hours
