Job Description Receptionist/HR Assistant (Tucker)

Summary: The receptionist is first point of contact that a visitor or caller will have with the company. The receptionist will always be friendly and leave an excellent impression during calls or face to face. The receptionist is responsible for inbound and outbound mail and maintaining of all files. The receptionist will also assist with the hiring process and with the administration of the hours of hourly employees and the payroll process.

Essential Duties and Responsibilities include the following. Other duties may be assigned.
? Provide EXCELLENT customer service.
? Prepare and follow up on outgoing shipments
? General office duties ( typing, filling, scheduling, obtaining supplies, filling supplies)
? Managing the payroll system keeping time tracking software, Payroll Company and Company HR files current, accurate and synchronized.
? Detailed review of daily, weekly, and bi-weekly punches times including enforcing our current policy of weekly Management authorization of hours.
? Recording attendance for the office, and maintaining PTO balance files for all eligible employees.
? Investigating and resolving minor Human Resource inquiries and concerns.
? Managing the administration of basic Human Resource functions to include employment applications, compilation of new employee files, making certain HR files contain all required information, etc. . .
? Managing the task list provided to you that outlines the routine payroll function as well as keeping accurate daily notes of exceptions, employee changes, replacement of cards, shoes, etc. . .

Qualifications
? Previous administrative experience working in an office environment
? Proficient in Microsoft Office (Word, Excel, Outlook)
? Experienced writing documents
? Excellent command of the English language. Bi-lingual English-Spanish MANDATORY.
? Excellent communication skills (written and verbal)
? Exceptional organizational skills and consistent follow through with team members, including excellence in planning, controlling and delivering business projects
? Demonstrated ability to deal with multiple, concurrent tasks, shifting priorities quickly and flexibility to meet changing needs
? Ability to complete work in a timely manner with accuracy and attention to detail
? Strong personal time management skills
? Can work under pressure with tight deadlines

DEPARTMENT: Human Resources

REPORTS TO: Vice President, Human Resources

PURPOSE OF POSITION:

Manages the Benefit Department and Plans in accordance with Company guidelines and state and federal law. Assists with other Human Resources functions as needed.

SPECIFIC ACTIVITIES:

*1. Manages benefit plans for the organization. Analyzes cost and service and provides reports to Senior Management. Maintains relationship with vendors and TPAs to ensure timely and accurate handling of claims.

*2. Manages day-to-day administration of all benefit plans and legally required programs such as COBRA, FMLA, etc. Serves as HIPAA Privacy Officer.

*3. Supervises benefits budget to include accuracy of all benefits-related payments.

*4. Proactively resolves employee issues related to benefits. Promptly investigates complaints and brings to conclusion. Prepares responses to appeals and/or litigation issues relevant to benefit plans.

*5. Analyzes benefit plan vendors and assures plan design meets the company’s desire to provide a competitive benefit program. Recommends additions, changes, or modifications on plan design and vendors as needed.

*6. Maintains up-to-date plan documents and assures plans are administered in compliance with legislation, the Summary Plan Descriptions and plan documents.

*7. Advises Senior Management of legal issues relevant to benefit plans, pending regulations and changes needed due to legislation.

*8. Produces communications for benefit plans, wellness program, volunteerism program, events/activities and quarterly Newsletter.

*9. Manages staff by communicating job expectations; training; planning, monitoring, and appraising job results; coaching, counseling and disciplining employees; coordinating and ensuring compliance with policies and procedures.

*10. Insures policies and procedures are updated and published in accordance with Company practice and appropriate legislation. Responds quickly to changing organizational needs.

*11. Performs all other duties as assigned.

*12. Must have regular predictable attendance.

WORKING RELATIONSHIPS:

INTERNAL: All employees

EXTERNAL: Vendors, state and federal agencies

SUPERVISION EXERCISED:

Direct supervision of assigned personnel. Indirect supervision of other Human Resources personnel.

SPECIALIZED KNOWLEDGE AND/OR SKILL REQUIREMENTS:

1. Bachelor’s degree in Human Resource Management or related degree may substitute. CEBS designation preferred or must complete designation within two years.

2. Three years Benefits experience with management/supervisory responsibility. Benefits experience must include exposure to Health & Welfare and Retirement Plans for at least 500 employees. Management experience must include supervising exempt level Benefits employees.

3. Demonstrated knowledge of employment and human resources law.

4. Demonstrated analytical skills to include benefit evaluations and plan renewals.

5. Must have excellent written and oral communication skills.

6. This position requires a high degree of independent judgment, strategic planning ability and excellent decision making skills.

REPORTS TO: VP MKtg/Dir Real Estate HIRING MANAGER: Brent Williams

APPLICANT REQUIREMENTS, ABILITIES AND EXPERIENCE

Prefer experience as a Store Planner, Construction Manager and/or Store Manager; or comparable non-SW experience. Store Installer experience is a plus.

Minimum High School education or equivalent. Prefer a Bachelors Degree in architecture, engineering, construction management or related field. Prefer a major/minor combination of architecture and construction management.

Licensed in Georgia/South Carolina/North Carolina preferred.

Personnel management experience is preferred. Demonstrated ability to manage the direct supervision of repair technicians, field techs and store installers.

Strong mechanical aptitude with the ability to create, read and understand store drawings and merchandise planograms.

Excellent organizational and planning skills with the ability to establish priorities and handle many projects simultaneously in a fast paced environment.

Ability to take charge and direct others, as well as make decisions and solve problems.

Good written and verbal communication skills with the ability to interact with all levels of management, outside vendors and contractors.

Must possess basic computer skills. Prefer Autocad drafting experience.

Prefer knowledge of electrical and computer operating systems as it relates to store equipment such as shakers, computerized color matching systems and automatic color dispensers.

Ability to perform the essential duties of the job with/without reasonable accommodation.

Must have a valid driver’s license.

- Time Management: You will be responsible for maintaining a list of deliverables by each department and their corresponding deadlines. You will provide me with daily recommendations of meetings and conversations that I need to have to make progress in the respective areas.
- Executive Reporting: You will be responsible for working with each department in delivering their daily, weekly and monthly reports. - Logistics and Planning: You will be responsible for price comparing and planning travel itineraries for corporate travel. You will also be responsible for planning company events. You will be responsible for price negotiations with event facilities to reduce overall cost.
- Social Media: You will be responsible for building our social media presence and communicating accomplishments and other ideas thru social media channels.
- Transcription: You will be responsible for transcribing various thoughts, meetings, etc. into a usable format or presentation. Additionally you will be organizing previous transcriptions into an idea board.
- Editing: You will be responsible to edit and create copy based on various meetings and conversations.
